Managing Availability (Full Time Only)
As you are part of our full-time staff we will need you to follow the protocol described below when requesting time off. Moving forward we will be using Google Calendar to manage availability/ request time off. We hope this will make it simpler for each team member to submit and communicate these requests. A calendar invitation has been sent to your email. You will need to “add this calendar” to your Google Calendar. To request a day off you will need to select the corresponding day on the CAP Calendar and write your “Name” Request OFF as the title. You can add notes by selecting more options and adding them under the descriptions section. Notes may include but not be limited to if you only need a partial day or if you are flexible. See the image below for reference:
MAKE SURE YOU ARE SUBMITTING IN THE CAP CALANDER (NOT YOUR PERSONAL CALANDER). YOU WILL BE ABLE TO SELECT THE CORRECT CALANDER WHEN CREATING OR EDITING A REQUEST
Note the following when submitting a request for time off.
Red BOD (Blackout Dates) will not be approved for time off as CAP has larger events or it's a busy time for CAP.
No more than 7 consecutive days can be taken without prior approval
This will be approved on a first come first serve basis.
One person per day we'll be approved for the time off. If you see someone has already requested the day you need, please speak to the Labor Coordinator and they will evaluate if we will be able to accommodate your request.
If you are using PTO you will need to submit a PTO Request form to the Labor Coordinator communicating the dates you will be using the PTO so it can be approved and processed in the system.
Once your time is approved the Labor Coordinator will update your availability in Lasso. Please do not do this yourself.
Note: do not assume a Google calendar submission is approved. This is only a request for time off.
PTO Request (Full Time Only)
If you are using PTO you will need to submit a PTO Request form (or a hard copy located to the right side of the whiteboard in the CAP Office) to the Labor Coordinator communicating the dates you will be using the PTO so it can be approved and processed in the system. This form must be submitted for approval at least four (4) weeks in advance of your preferred vacation dates being submitted for PTO. Time requested off for PTO can not be taken for more than 7 days in sequence without prior approval. (see employee pay plan for individual terms)
